Some flight schools don't want to allow members to schedule flights too far into the future or flights lasting longer than an approved amount of time. SkyManager automatically prompts pilots to complete a cross-country form whenever they schedule a flight that breeches the allowable threshold. By default, the cross-country form is triggered if a pilot tries to schedule a flight lasting six or more hours or beginning more than two weeks in the future. The form is then emailed to administrators, who can then approve the request in the system.

To request custom cross-country thresholds, submit a ticket to SkyManager Support.

Configuring the Form

The cross-country form contains the information you require from pilots in order to approve their request. To configure the form, click on System Configuration in the Home Page, then click on Organization. Use the Cross Country Form text field to build your form (e.g., "Destination:"). Once you're finished building your form, click the Save Organization button.

When a member attempts to schedule a flight that exceeds the thresholds mentioned above, they will be prompted to complete the cross-country form before being able to submit their reservation. 

Approving Requests

Cross-country requests must be approved by an administrator. When a pilot attempts to schedule a cross-country flight, all administrators with the "Approve Cross-Country Requests" permission will receive an email notification.

To approve the pilot's request, click on Cross Country Requests under Administrative Tools in the Home Page. You will see each request's details, including the member's responses to the questions in your form. Click on the view link beside the request you'd like to approve. Then, in the pop-up window, change "Reservation Request" to "Normal Reservation" in the Priority field and click Save Reservation at the bottom of the window. If the request is not approved, simply click Remove at the bottom of the window. 

Approved requests will appear under the Approved Requests section of the page after saving.
